Event Vendor Terms and Conditions

These Event Vendor Terms and Conditions (“Terms”) apply to your participation as a vendor/exhibitor at a Localization World, Ltd. (“Company”) produced “Event”. By participating in an Event you acknowledge your receipt and review of these Terms and agree to be legally bound by the terms herein. If you are participating in an Event on behalf of an company, you are agreeing on behalf of that company and all its employees, contractors and agents participating in the Event, that they are bound by these Terms.

  1. Assignment of Booth Space. Company will take commercially reasonable efforts to place you in the booth you were originally assigned but reserves the right to substitute your booth location with what Company deems is a materially similar booth location.
  2. Restrictions on Exhibits.
    1. Installation and dismantling of your exhibit booth must be done only during the times allotted by Company. No one under the age of 18 will be permitted on the exhibit floor during installation and dismantle hours.
    2. You may only arrange your exhibit booth to minimize obstructed viewing of all other exhibits in the venue. Any portion of an exhibit that obstructs the view, interferes with the privileges of other exhibitors, extends beyond the designated exhibit space or for any other reason is objectionable (as determined by Company), must be immediately modified or removed. No signs or advertising materials, including handouts or marketing materials, shall be displayed outside of your designated exhibit booth. Company reserves the right to curtail exhibits or parts of exhibits that reflect against the character of the Event.
    3. Sound Devices, Fog Machines, loose Glitter, Confetti, Lighting and other Presentation Devices. Public address, sound-producing or amplification devices must be kept at a conversational level and must not interfere with other exhibitors. Fog machines, loose glitter, and confetti may not be used in the exhibit hall.
    4. All exhibits must remain intact until the close of the event. Exhibits must be fully and properly staffed during all exhibit hours. All exhibitor personnel must wear an official LocWorld name badge for exhibit hall admission.
    5. Distribution of advertising material and souvenirs must be confined to the exhibitor’s booth. Canvassing or distribution of advertising material or souvenirs in the exhibit hall by representatives of non-exhibiting firms is strictly forbidden.
    6. You must collect and properly remit sales tax for any on-site sales made.
    7. Exhibitors may not assign, sublet or apportion to others the whole or any part of the space allocated.
    8. Rules and regulations for union labor are made by the local unions and may change at any time. Where union labor is required because of building or contractor requirements, it will be necessary for the exhibitor to comply with these regulations.
    9. You are responsible for securing all of your exhibit contents and belongings before, during and after the event. Company is not responsible for any lost or stolen goods.
    10. All events, functions and public meetings you organize shall not conflict with any element of the Event.
  3. Cooperation. You agree to cooperate with all reasonable requests of Company related to the Event, including all rules, regulations and policies put in place by Company and the Event venue from time to time.
  4. Failure to Occupy Space. It is paramount to the event that the floor space be filled with vendors. Because of this, you must adequately populate and staff your exhibit booth. As liquidated damages for your failure to comply with the foregoing, you shall be subject to a five hundred dollar ($500) fee and forfeit your exhibit space if not populated and occupied by the opening of the exhibit hall on the first day of the Event.
  5. Rates, Refunds and Cancellation. All cancellation requests must be submitted in writing to Company at the address and email set forth below. If cancelled more than sixty (60) days prior to the event date, you are entitled to a full refund minus a $50 processing fee. If cancelled more than thirty (30) days but less than sixty (60) days prior to the event date, you are entitled to a fifty percent (50%) refund. There are no cancellations allowed thirty (30) days or sooner to the event date. If you cancel your order with Company, any complimentary Event registration will be null and void.
  6. Event Cancellation. Localization World, Ltd. reserves the right to cancel the Event without prior notice. In the event of such cancellation, Localization World, Ltd.’s liability is limited to a refund of the exhibit and related registration fees. If the Event is terminated due to picketing, strike, embargo, injunction, act of war, act of terrorism, act of God, or a state of emergency declared by a government agency, the exhibitor waives any and all damages or rights to a refund.
  7. Contractor Services. An official contractor will provide all services in the exhibit area. Complete information, instructions and schedule of prices regarding, shipping, drayage, labor for installation and dismantling, etc. will be forwarded in an exhibitor manual. Under no circumstances shall Localization World be responsible for loss or damage to goods consigned to the official contractor.
  8. Loss or Damage. Neither Localization World, its sponsors, their employees or agents will be responsible for any injury, loss or damage that may occur to the exhibitor or the exhibitor’s property. By agreeing to these terms, the exhibitor releases Localization World, its sponsors, their employees and agents from any agreement to indemnify them against any and all claims for loss, damage or injury. Exhibitors are advised to carry insurance.
  9. Violations. Without limiting any other rights Company may have, violation of any of these Terms shall, at the option of Company, forfeit your permission to occupy space and all monies paid. Upon evidence of violation, show management may take possession of the space occupied by you, and may remove all persons and goods at the exhibitor’s risk.

Quick Tips For Social Media Success
  1. Start your promotion as soon as you have signed up as a sponsor or exhibitor at the event! This will help build interest in your participation early, leading to greater interest by the time of the event. You don’t need to post heavily early on, but it’s great to kickstart the excitement once your engagement is confirmed.
  2. Plan your social media presence during the event. Who will be attending from your company? What will their roles be? How can they be involved in social media engagement? Involve the whole team if possible!
  3. 1 month out – step up your promotion. Start talking about what attendees can look forward to when connecting with you virtually. New products? Demos? Raffles?
  4. Make sure you use the official hashtag!! Each conference has its own special hashtag to make finding and re-sharing content easy for everyone. Using the hashtag will ensure that attendees will see your posts and our social media team can more easily support your promotional efforts. All current official hashtags are listed above.
  5. Use a Social Media Dashboard. Planning the bulk of your social media posts before the actual event, using a social media dashboard like Hootsuite, is very helpful. This will save you a lot of time when you are live during the event and busy interacting with the attendees.
  6. Don’t just rely on scheduled posts – live post as well. Posting as things happen will add some additional interest to your promotion and gives you more flexibility to capitalize on events that occur on the day.
  7. Be human and have a conversation. Use a natural voice in your posts – it should feel like your colleagues are speaking to the audience, not some corporate announcement. And make sure you reply to others’ posts when you can – remember, it is ‘Social’ media.
  8. Go multimedia. Use pictures and video, this is also vital for virtual events. The more interesting you can make your posts – both content-wise and visually, the more effective with will be for you.
